Hybrid Meeting Etiquette
- Be excellent.
- Attendance and voting can be found in the #meetings slack channel.
- Please show up early if you are concerned about your audio.
- If there is no one waiting to speak feel free to do so at the next opportunity.
- If there is someone waiting to speak, please say that you are raising your hand in the google call chat. (This will be demonstrated)
- Please refrain from other side conversations, these can be distracting for the rest of the meeting and make it difficult for the chair to keep track of what's going on.
- If you're in the space remember that having a single person speaking at a time is helpful for those attending online.

Proposal for Changing Member Meeting Schedule
Proposal by Jeremy G.
What is "busy?" More people and more projects. Could make the additional meeting a "working meeting." Technically "broom party" is at the end of the meeting agenda. Did we get feedback on doubling member meetings? Was this useful? This might be something worth discussing.
- Wei: When we had the extra member meetings, it felt like we were more engaged. A social meeting is also a good reason for a meeting.
- Thomas: could chop dow the meeting agenda to just what's truly important.
- Brian: maybe have something more focused on specific topics like social or talking about projects or discussing things we want to change
- Paul: what's teh purpose of teh meeting? We should have a purpose in mind for a meeting if we're going to have an extra one.
- Nate: when we had 2 meetings/month. The only motion that the chair would entertain at the second meeting is a motion to adjourn. Could be a "preview" of events that will be happening in the space.
- Jeff: One meeting per month doesn't feel like enough. By the time the next meeting rolls around things aren't addressed from the past.
Modify member meeting schedule during August-November to the following:
- August 5th at 7:30pm (as scheduled)
- August 26th at 7:30pm
- September 9th at 7:30pm
- September 23rd at 7:30pm
- October 14th at 7:30pm
- October 28th at 7:30pm
- November 11th at 7:30pm
- November 25th at 7:30pm
For sake of clarity, the current meeting schedule would be replaced by this schedule. The regular meeting schedule will resume in December.
This is a temporary update to our member meeting schedule to better support activities during the busier fall season

Proposal for Rule change/ Clarification on Guests in space
Proposal by Thomas General agreement with this proposal
As the person who lets a guest in is responsible for them:
Proposal: For machines that require authorization the person hosting a guest should also be authorized in the use of a machine the guest.
How else would they be able to fully accept responsibilities for their guest??

Equipment Logs
Looking to socialize an idea which I think could help with our understanding of equipment utilization, accountability, and maintenance.
- We keep a log for all capital equipment (what's the threshold for a piece of equipment requiring a log? How/Where do we log?)
- When you go to use equipment you first check that it was previously left in a correct state, if it wasn't, you take pictures and post to the appropriate slack channel and include the last person on the log.
- If you discover that a piece of equipment is unable to perform the task in front of you, ticket the equipment, post it in the correct channel on Slack and ensure that it is marked "down" on the wiki.
- Zones are responsible for signing off on logs and correcting any discrepancies.
- Per zone would be good since there's a lot of zones where this may not apply.
Need autozone ZC
We've had a few problems around the autozone recently. We need a new zone coordinator, or coordinators. I don't think this is a piece of equipment we want to be without oversight. I think we should consider it "down" until we have a person or group of people who are willing to be officially responsible for it.
Auto ZC resigned. Zone requires a lot of attention. The lift is a risky machine to operate. Board is worried that if we can't get somebody to run it then they would need to shut down the lift. Leaving fluids in the zone is a health/safety hazard and blatantly against the rules. Other zones have suffered without leadership.
Storage permits
Two points:
- This is a shared space, so work surfaces are not to be used for project storage, even with a permit. Only by approval of the zone coordinator. Project property must be stored in your plot or on a cart in large project storage with the correct permit. It's entirely possible that you won't have time to get a response from the coordinator, so plan ahead before you start -- have a plan for how you're going to move it from the work surface to storage.
- The outside parking also is not technically a storage zone, it's parking, and as a space we need to have some discussions on if it's even possible to set a spot of it aside for stuff that is not parking, and where, and how to manage it. Historically, it's been more of an exception and a big need, in order to have a project there for a length of time, rather than the norm. Situations do change, but the limited parking spaces has not changed, and became more limited once our eastern neighbors claimed the fence as theirs exclusively. So what does the future hold, for how we handle our parking needs and project needs?
Aj adding on a point:
- The current "allowed" areas for parking permits aren't really adequate for member needs, and haven't been enforced at all for at least as long as I've been a member. I don't think it's fair or reasonable to start enforcing parking permit areas as they currently are.
- Things that have been painted and are drying typically need a dust-free area, things that have been glued up and are drying frequently can't just be taken home immediately and you wouldn't want that on the ground (large project storage) + many projects wouldn't fit in the MESA drying rack.
- I think parking permits as a whole need to be revised, and we need to look into additional options / locations where people can leave things like actively drying projects. One option will be B-side mezzanine once I'm able to get it cleaned up and set up surfaces to leave things on. What other options can we have? Is there anything we could do in Paint Zone? What are the most frequent items people need to leave overnight, and how can we provide options for these that keep them out of everyone else's way?
Borrowing tools/Fleet
- It's possible we could add equipment to Fleet so there is official record of what is borrowable. This would involve a category added to the wiki equipment page that would indicate borrowable yes or no, with the default no, unless the zone coordinator changes the field to yes. Fleet by itself is not intended to mean borrowing equipment and saying it's been taken after the fact... it is meant for equipment currently in fleet such as the trailer, and N2D2. Please do not remove equipment from the space unless a request has been made and granted before, or it's indicated in Fleet. Then it may be borrowed following the instructions on that page. Without an official process, equipment disappears and then nobody knows where it is.
- Also, if you sign a guest and your guest borrows equipment, you are responsible for it and seeing that it has returned.
- In need of a system that can work in Auto and other zones. Maybe similar to the Elab?

- Any news on the HVAC installation for the new sewing room?
Storage Zone
Have started adding holders for the ticket system discussed in prev member meeting! (yellow / red tickets) This is what the business card holders will be for. Note that we still need slips of paper cut to size, and the lockers + some laser-storage plots still need them.
To Do List:
- Finish re-labeling storage plots near Leather/Lasers
- Re-label highest wood pylon storage plots -- need help getting existing boards down, then putting new ones up + labeling
- Put more nails in Wood Pylon storage plot boards (a few have been knocked down; prevent this via more nails)
- Set up Storage Ticket system (adhesive business card holders)
- Need to finish rest of storage plots + get slips of paper cut to size
- Will also need a box for people to place removed yellow tickets in
- B-side Mezzanine: clean up (vacuum, move abandoned items to Graveyard), put in shelving / tables for people to leave things on
- Will need to update Parking Permits to specify people can leave things here
- Class / Workshop storage and/or vertical storage -- figure out where / how to implement.
- Can we move the conduit / tubing leaning against the wood pylons currently? It's in a central, easy to access location, and does not need to be. This could be better utilized.
- Clear out plots of people who have 2 storage plots claimed
- Note: the lockers count as a storage plot, you cannot have a locker claimed if you have another storage plot claimed!
- Fill out Storage Zone wiki page
