Bringing Proposals to the Board
The Board of Directors is happy to discuss any issue or concern that is appropriate for its consideration. In the interest of
efficiency and equity, please consider the following guidelines:

- If you have a concern, consider getting together with a few other members to develop a proposal
that remedies the situation. Having the discussion outside of formal meetings helps ensure that the various
points of view are considered in the final proposal and makes it much more likely that your proposal would
be adopted. It also saves precious time at meetings for other issues that may be just as important.

- Please be considerate of the number of people x duration. E.g., if there are 20 people at a meeting, then
every minute of the meeting is 20 minutes of peoples' time spent. Being prepared to explain your proposal in
a concise and logical form makes it more likely that there will be time to discuss and act on it.

This is one of the two nearly identical laser cutters in the space. They have 3'x4' beds and 150 watt tubes. This one is named Bumblebee becasue it is yellow and black, as compared to Wolverine, which is yellow and navy blue.
If you are not trained yourself, operation of the laser cutter must be done under the supervision of one of the trained operators. (A list can be found on the clip board in the zone) Trained operators are: Matt A., Roger S., Nate B., Terry W., Andrew M. and Devon T. See the section below about Damage Prevention.
i3Detroit asks that users donate $0.25 per minute or $15 per hour that the beam is active. This is to replace consumables, especially the expensive bulb. There is a wooden donation box.
Approved Materials List
| Instructions =

Get material that will fit on the bed of the laser cutter, which is 3'x4' (optimal cutting area 34" x 46"): 4 feet wide from left to right, and 3 feet long from the front to the back. Your piece must be able to fit on the bed itself, because the bed will lower to put the surface of your material in focus. However, in case anyone needs to know the whole interior of the bay for some reason: there is 51 inches of clearance between the two rails the gantry runs on (the same width as the machine's bay door). 51 inches is also the measurement from the front lip to the back wall of the machine, but the door itself takes up 3/4 of an inch of that.

General Instructions
Time-of-cut Checklist
# Place material (square to edge of honeycomb). You can also run the head left / right and watch the red dot to see if it moves parallel to the edge of the material. Adjust as needed.
# Cover inactive honeycomb area except an "intake" in front of the material. This directs smoke away from the gantry.
# Turn on POWER STRIP on floor behind cutter. This should bring up the chiller and air-assist pump.
# Gently pinch rubber hose from laser to chiller to trigger chiller alarm, verifying that it's awake.
# Assure the exhaust is open on the back of the unit, right next to the chiller. Slide the door all the way open (to the left).
# If the other machine is not in use, cover the vents at the back of the OTHER machine to increase the exhaust flow.
# Make sure there is nothing obstructing the path of the laser head toward the right rear of the working surface!
# Turn keyswitch to on, and wait for boot and home to complete.
# With the D-pad, jog head over to center of material.
# Check the lens for debris, and clean if necessary, especially if cutting something smokey like wood or MDF.
# Press "Z" to enter the mode to raise or lower the bed.
# Keep one hand over emergency-stop. Press "Datum" to auto-focus.
# Double check the auto-focus with one of the acrylic manual focus gauges. Tell the zone warden if the autofocus is off by a significant amount.
# Press "Z" again to exit Z mode.
# Wave hand under head and verify that air-assist is blowing.
# Download design from LaserCut software.
# With the D-pad, jog head to start of cut.
# Keep one hand over emergency-stop while using the "Test" button to check boundaries.
# Turn on the exhaust fan (black switchbox on wall).
# Lift the fire extinguisher and set it back down. This verifies that your muscle-memory knows where it is.
# Press "Start".
# DO NOT WALK AWAY. See http://www.thinkhaus.org/2011/04/03/lazzoring-is-serious-business/ for why.
# When cutter finishes, observe elapsed time on LCD and put money into box.
# Also, please remember to turn off the exhaust blower! The furnaces have to put back everything it removes.

How to use the manual focus gauge
The manual focus gauges are in the laser cutter box. They are small L-shaped pieces of acrylic with "69mm For use with 63mm lens" engraved on them, corresponding to the 63mm focal length lenses currently installed in the laser cutters. To check the focus, place the gauge on the surface of the material you are cutting. The underside of the nib should rest against the top of the knurled fitting, as shown in the pictures to the right.

To re-cut the manual focus gauge, or to modify the file for a different lens, use the files found in this thread.

How To Calibrate The Auto-Focus
From time to time the auto-focus gets out of alignment for various reasons gradual or sudden. The depth-finding plunger is at the wrong height. One of two things have usually happened. A: the depth-finding plunger is at the wrong height on the lens cylinder; or B: the depth-finding plunger is at the wrong height in its (gold-anodized) holder. Note: the telescoping of the assembly relative to the crossbar does NOT affect the focus, it affects the height of the honeycomb relative to the outside edge of the laser table when focused.

To adjust the autofocus, use the plastic gauge (as shown above). Adjust the position of the probe in its holder and the position of its holder on the black tube so that the top of honeycomb surface is approximately even with the surrounding edge, and there is enough of a gap between the holder and the top of the knurled ring to allow the gauge to fit between them. The set screws that secure the probe bracket to the black tube should be below the bottom edge of the crossbeam that supports the laser head.

When you are done, make sure the nozzle is tight on the end of the black tube (thumbscrew on side is also tight) and the nut that controls telescoping of the lens assembly in the black tube is also secure.

Cleaning the laser head
If speed for CUT in 1/8" MDF falls below 20,then check the focus and have a trainer clean both mirrors and lens.

Trainers:
* Use alcohol from the laser box and cotton ball.
* The convex lens side goes toward the laser.
* The capture ring tool is in the white box.
* Use tweezers for removal of o-ring.

Power and Speed Rankings
TW- I have noticed that the laser seems to lose power over time. To better get a handle on this I am going to start running Cut Rankings. Every time I use the laser, I will make a test of small squares on the 1/8 mdf, which is usually around as scrap, for cutting at 100 power. They will be staggered at speeds of 5.10.15.20. I will put the results and date. If others could do this to we might start to see what we need to do. If these settings are outdated, do your own test cuts as too low a speed produces a lot of smoke.
Damage Prevention
The most common way the laser can injure itself is colliding its plunger with something when it moves itself. Moving itself takes place during a job, when going to the logical origin that has been set to begin or end a job, or when homing to the upper right corner of the bed. Homing takes place when pressing the Datum button, or when the machine powers on, such as recovering from an emergency stop.
If the plunger is mounted on the wrong side, it can collide with the machine frame during homing.
The plunger can collide with material or with weights that are holding down material. During a job, sometimes a flexible material will lift off the bed through heat curling, or when cutting releases its pent-up spring energy. Continuing the job might cause the head to collide with the newly-emerged edge.

Only use the auto-focus feature (z-datum) when plunger is over material. Otherwise, the plunger tip goes into the honeycomb without being pressed down, so the Z-motion doesn't stop itself, and crushes the lens head into the bed.
Keep your hand over the emergency stop when auto-focusing.
Everyone should practice hitting the emergency stop button. Pressing the emergency stop does not cause an emergency.

Be very careful when removing the emergency stop, because it homes itself during every power-on. So, be sure the lens head is free. If the table is so high that the plunger is stuck in the honeycomb, open the lower doors of the laser, manually pull the belts on the screws so that the bed goes down. After this, this procedure will have to be reversed, measuring the distance from both sides of the bed to both sides of the gantry.

Coolant failure will destroy the laser, so each time the laser is used, squeeze the coolant tube to ensure that the alarm would go off.

Be sure the exhaust is on, or the smoke gathering in the machine will damage the mechanics, the optics, and any nearby humans.

Never laser-cut polycarbonate. It is highly flammable, and will produce toxic, highly corrosive smoke. Also do not cut plastics containing chlorine. Acrylic and delrin are currently the only known-safe plastics.

Before cutting something with an reflective surface, consult a user who is qualified for training or maintenance.

If material catches on fire, hit the emergency stop, yell "fire", and use the fire extinguisher mounted to the front of the laser. Pull the pin, and spray carbon dioxide gas in a sweeping motion over the flames. It just dispenses carbon dioxide gas, not foam. This will do no damage. It's just loud.
| ToDos =

;New cylinders to hold different lenses,
:...to make it easy and safe to change them without smudging or damage. Sector67 has indicated they may make some of these. (The existing cylinder has too narrow an opening for the lens that gives a long focal length. Its beam is so wide that it hits the lip and heats up the cylinder.)
;Payment-measuring timer.
:One way to do this would be to measure current to the machine and time how long it runs at laser-firing power. It would be good to put a button on the timer that would re-set it to zero.
:Another way, used at other spaces, is to use the "blow" output contact from the controller, which is meant to trigger the air-assist, in case bottled gas is being used for special cutting.
| FAQs =

TroubleShooting
;When running TEST I get a SOFT STOP message on screen and no test.
:That usually means your cut runs off the laser table. Check your origin point on the file and where you have the laser head starting. Sometimes it means that Logical Origin is set to ON which places your cut off the table, no matter where you have manually set the laser head.

;How can I turn off Logical Origin?
:To Cancel Logical Origin use the keys on the Control Panel on the Laser and the Control Panel Display.
:# Hit ESC 3 times.
:# Hit the RETURN key (the one with an arrow that goes down and to the left). This should highlight the current file name.
:# Hit RETURN again. This should pop you to the Logical Origin screen.
:# Hit Right Arrow until the field Cancel Logical Origin YES is highlighted.
:# Hit RETURN.

;My Test doesn't start where my laser head is and I have turned Logical Origin off
*Make sure to check the IMMEDIATE box and save before Downloading AND turn off Logical Origin to allow the origin to be the manually set position of the laser head.
*This could also mean your cut is running off the table, or close to the edge.

;It takes several minutes or infinite minutes to compile in LaserCut
: I have had this happen with some (but not all) DXF files from OpenSCAD. Open the dxf file in CorelDraw and then save it as dxf. It will "clean it up" and you compiles will now be very quick. I have no clue what is happening.

;When cutting 1/8mdf through it takes 100% and slower than 20 speed.
:Check Focus. If problem persists have trainer clean lens and mirrors. DO NOT attempt cleaning if you are NOT a trainer.

;When downloading file to laser cutter, no file appears in the DownLoad window or on the laser cutter
: Your file is too big (some combination of actual size and complexity of design) to be transferred via the cord. You can download your design directly to the laser cutter via USB flash drive.
# In the LaserCut Download window, choose "Export file" instead of "Download Current"
# Find the files, a .mol and .txt and put them on a flash drive. They don't need to be the only files on the drive, but probably should be the only .mol file
# Plug the flash drive into the laser cutter USB port. The port is located on the right side of the laser cutter, about 2 feet off the floor near the front edge. (someone should add a picture of the port location)
# The file will be downloaded automatically- it might take a while to download, but it'll give you the progress as it goes.
# Proceed as normal- you should see the name of the file in the menu as usual.

; The laser head moves through the design, but the laser doesn't fire!
*Laser power setting in LaserCut should be above 17.
*Check the air nozzle to make sure it isn't knocked out of whack and blocking the laser path. Check the mA meter just above the control panel. If it jumps up around 10-40 mA, then the laser supply is firing and just getting blocked
*Make sure the chiller is on (safety interlock)
*Make sure the door is all the way closed. The door interlock uses a small magnetic sensor on the front right bezel into which the door sits when closed. The magnetic sensor requires a small gap between it and the magnet. If the door requires re-alignment, TELL A TRAINER. DO not try to fix it yourself, just let someone know to re-align it so you don't make it worse.
Overview
This is the official, legal structure of the i3 Detroit corporation. This information will only be regularly needed by directors and officers. The Articles of Incorporation establish i3 Detroit as a membership-based corporation, meaning it has two deliberative assemblies (definition): the voting members, and the board of directors.
Each assembly has rights and responsibilities given to it by the articles and the Bylaws. Those rights and responsibilities are exercised by voting on written Proposals, which become Resolutions (definition) when passed. Resolutions of a deliberative body can be used to authorize any power granted to that body by the bylaws, or to create additional procedures and rules that they agree to follow. In the chart below, legal rights/responsibilities are delegated in the direction of the arrows.
Large Project Storage
Point of Contact: Justin Triplett
* Concern over the loss of large project storage was bought up by Terry W. at the previous meeting. I expect it to be discussed again, specifically because Terry has a proposal that he also previously presented.

Proposal for Large Project Area, East Wall Zone Shuffle and 3' Expansion of Kiln Zone. Terry W

* Talked to all Wardens along East Wall and John Sugg (Vaccuuform) by email.
* Proposal is for Large Project Area to be an area from the West edge of the Welding, Plasma, Kiln, Forklift, and Injection zones to a line 18' from the East Wall. We have marked the 18' line for inspection at the meeting.
* The effected wardens would require only Projects be in that area (not furniture or other Group materiel), and Projects be able to be moved (either by having wheels or being on a pallet) so that zone access is not permanently blocked.
* In addition, the East Wall Wardens will be making a proposal to the Board separately to shuffle the plasma cutter into the CNC Zone and slide all zones down.

* Furniture (big white wall, bBQ, trash cans, etc. Will need to be relocated into the commons area or disposed. Reorganization of the common furniture is not within the scope of this proposal

* Large Project Area would be marked by Yellow Tape during Potlock
Proposal Shuffle East Wall Zones and Expand Kiln Zone from 5' to 8' width
Point of Contact: Terry W

The East Wall Wardens propose the Board change the floor plan allowing:

* to shuffle the plasma cutter into the CNC Zone and slide all zones down. This moves the Plasma Cutter at the Request of CNC Warden Brian W.

* to slide all the other zones to the South along the wall after the Plasma Cutter is moved to the CNC Zone.

* To expand the Kiln Zone width from 5' to 8' to accommodate Ceramics use at the request of Kiln Zone Warden Terry W.

* The expanded Kiln Zone will house the Vacuuform, which is currently in the space with the Plasma Cutter.

* This will all be done at Potlock. Cost $150 from Potlock funds.

All of the accounting is now caught up from the transition, including dues logged in the CRM. We will be current from this point onward.

We have successfully absorbed all the big purchases from the last 12 months. We are now back to more money in the bank than when we started. Although this report is for the fiscal year through Feb 28, I have stated the bank balances as of 3/8 because we had a lot of Jan and Feb dues that were just deposited on 3/5 as part of catching up.

I recommend that the Board drop the austerity restrictions at the Board meeting and go back to normal budget spending.

The only reason I don't give an A is that I want to see dues averages for March and April. Our budget has them at $4900 each month and we are probably right at that number, plus or minus a couple of hundred and I would like to see exactly where we are averaging over a longer period.
All members at i3 strive to "Be excellent to each other." This page gives examples of how to be excellent in different scenarios.

In General
* It is excellent to strive to be more excellent.
* It is excellent to tell someone how to be more excellent. It is not excellent to criticize someone for not being excellent.
* It is excellent to communicate needs instead of criticisms. Example "I need some table space to work on my project, would you be able to clear any of this table for me to use?" instead of "Look at this mess! You are a horrible human being! This is not excellent at all!"
* It is excellent to broadcast positivity, and channel negativity. Example: Sending thank yous to the mailing list, and resolving disputes with private emails.

When someone else is not being excellent
* When someone is not being excellent, it is excellent to talk to them in private. It is not excellent to single them out at a meeting or on the mailing list.

I am sending the material below to you at the request of the Board of
Directors. There are two board motions below. The first one was passed by
the board by unanimous vote. The board intends to vote on the second
motion after you have an opportunity to respond as explained in the first
motion.

Please reply to this email when you open it so I can inform the board that
you have received it.

Thanks,
Secretary
i3 Detroit

Motion of Intent to Revoke MC’s Membership

Whereas i3 Detroit seeks to provide a welcoming environment free of
hostility to all members, the board must act when a member exhibits a
pattern of actions that harm our community. MC has made many
positive contributions to the space, but those cannot outweigh the hostile
environment he has contributed to creating.

1. The secretary is hereby directed to send a copy of this motion and the
Motion to Revoke MC’s Membership to MC via his
email address of record.

2. The board intends to vote on the Motion to Revoke MC's
Membership at the next practicable opportunity.

3. If MC voluntarily terminates his membership after the
passage of this motion and before the vote on the Motion to Revoke, the
board will defer the vote on the Motion to Revoke. If, subsequent to such
voluntary termination, MC becomes a member again, the board
intends to vote on the Motion to Revoke as soon after he becomes a member
again as is practicable.

4. Pursuant to Article 3, Section 10 of the Bylaws, MC may
respond in writing (to i3detroit-board@googlegroups.com) or in person to
the board with regards to the Motion to Revoke before the scheduled vote.
To hear a response in person, the board will make a good-faith effort to
schedule a time when as many board members as possible can attend.

Motion to Revoke MC’s Membership

Whereas i3 Detroit seeks to provide a welcoming environment free of
hostility to all members, the board must act when a member exhibits a
pattern of actions that harm our community. MC has made
positive contributions to the space in the past, but those cannot outweigh
the hostile environment he has contributed to creating.

1. The membership of MC is hereby revoked, effective
immediately, because the board has determined that he has engaged in
conduct materially and seriously prejudicial to the interests and purposes
of the corporation. This was a pattern of repeated conduct that continued
after he was informed that it was inappropriate.

a. Meeting one of the grounds for membership revocation in the Standing
Rules: ”The member is a disruption about whom multiple members have
complained.” Multiple members complained when he repeatedly took his
dispute with Nate Warnick over the bike and welding shops onto the
member’s mailing list. Multiple members complained about many of the steps
he took in transforming the bike shop into what he intended would be a
casting zone.

b. Posting on the mailing list a hurtful personal insult directed at
another member: an intolerable violation of our rule to be excellent to
one another.

c. Multiple rule violations having to do with bringing in, relocating,
storing, and damaging property. E.g., storing bar countertops not in
compliance with the wood shop storage guidelines, improperly relocating
bike shop tools to the graveyard, relocating robot knife fight arena to
non-compliant storage in wood shop, cutting off the front section of the
bike shop workbench and storing it unsafely in the wood shop, drilling
unsightly holes in the large projection screen, disconnecting and
partially disassembling the Argon-Left-On warning system in the welding
shop, storing a large steel lamp in the power-wheels corner without
parking permit.

2. The minimum period of revocation shall be 90 days. If MC
voluntarily terminated his membership after the passing of the Motion of
Intent to Revoke and before the vote on the Motion to Revoke, the number
of days after voluntary termination count as if they were days after
revocation for the purpose of meeting the above 90 day minimum period.

3. The following additional conditions must be met, in the sole judgement
of the board, for MC to be welcome to become a member again.
The primary consideration of the board will be its responsibility to
protect our community from the harmful behaviors that led to the
revocation.

a. His words and actions as he responded to Motion of Intent to Revoke
reflected our need for everyone at i3 to be respectful to one another and
follow the rules, even in disagreement.

b. He removed his property from the space in a timely and considerate
manner, reflecting the fact that we rely on both rules and consensus to
make efficient use of a limited space.

c. He has taken the initiative to repair or provide compensation for
property he damaged, in each individual case working with a zone
warden and/or a board member to reach consensus on the best
resolution.

d. His presence on i3 social media as a non-member has reflected the need
for everyone at i3 to be excellent to one another. For example, limiting
negative communications to only those recipients who need to know about a
specific problem and can help to resolve it, working to calm heated
discussions rather than fanning the flames, responding to respectful
questions without defensiveness, using language appropriate for a diverse
audience, disengaging rather than continuing an online conflict that has
become counter-productive.

e. His presence as a guest has demonstrated a consistent focus on positive
contributions to the community and educational mission of i3 Detroit, as
well as a proactive respect for the rules, including the rule that all
guests are required to sign in with a host member.

4. If MC wishes to return to membership after his membership
has been revoked, he may request in writing (to
i3detroit-board@googlegroups.com) that the board review his status with
regards to the conditions under which he is welcome to become a member
again. This review may be requested no more than one time for each elected
board, i.e., once per year.
Motion of Intent to Revoke NW’s Membership

Whereas i3 Detroit seeks to provide a welcoming environment free of
hostility to all members, the board must act when a member exhibits a
pattern of actions that harm our community. NW has made many
positive contributions to the space, but those cannot outweigh the hostile
environment he has contributed to creating.

1. The secretary is hereby directed to send a copy of this motion and the
Motion to Revoke NW’s Membership to NW via his email
address of record.

2. The board intends to vote on the Motion to Revoke NW’s
Membership at the next practicable opportunity.

3. If NW voluntarily terminates his membership after the passage
of this motion and before the vote on the Motion to Revoke, the board will
defer the vote on the Motion to Revoke. If, subsequent to such voluntary
termination, NW becomes a member again, the board intends to
vote on the Motion to Revoke as soon after he becomes a member again as is
practicable.

4. Pursuant to Article 3, Section 10 of the Bylaws, NW may
respond in writing (to i3detroit-board@googlegroups.com) or in person to
the board with regards to the Motion to Revoke before the scheduled vote.
To hear a response in person, the board will make a good-faith effort to
schedule a time when as many board members as possible can attend.
Motion to Revoke NW’s Membership

Whereas i3 Detroit seeks to provide a welcoming environment free of
hostility to all members, the board must act when a member exhibits a
pattern of actions that harm our community. NW has made many
positive contributions to the space, but those cannot outweigh the hostile
environment he has contributed to creating.

1. The membership of NW is hereby revoked, effective
immediately, because the board has determined that he has engaged in
conduct materially and seriously prejudicial to the interests and purposes
of the corporation. This was a pattern of repeated conduct that continued
after he was informed that it was inappropriate.

a. Meeting one of the grounds for membership revocation in the Standing
Rules: ”The member is a disruption about whom multiple members have
complained.” Multiple members complained when he repeatedly took his
dispute with Mario Corsetti over the bike and welding shops onto the
member’s mailing list.

2. The minimum period of revocation shall be 30 days. If NW
voluntarily terminated his membership after the passing of the Motion of
Intent to Revoke and before the vote on the Motion to Revoke, the number
of days after voluntary termination count as if they were days after
revocation for the purpose of meeting the above 30 day minimum period.

3. The following additional conditions must be met, in the sole judgement
of the board, for NW to be welcome to become a member again. The
primary consideration of the board will be its responsibility to protect
our community from the harmful behaviors that led to the revocation.

a. His words and actions as he responded to Motion of Intent to Revoke
reflected our need for everyone at i3 Detroit to be respectful to one
another and follow the rules, even in disagreement.

b. He removed his property from the space in a timely and considerate
manner, reflecting the fact that we rely on both rules and consensus to
make efficient use of a limited space. While his property storage
violations are not grounds for revocation in this instance, his past
behavior has shown a pattern of disregard for rules about storing
property. E.g., large wooden couch components stored unsafely in the wood
shop, and the same accompanied by sheets of wooden paneling in large
project storage for weeks without a parking permit.

c. His presence on i3 Detroit’s social media as a non-member has reflected
the need for everyone at i3 to be excellent to one another. For example,
limiting negative communications to only those recipients who need to know
about a specific problem and can help to resolve it, working to calm
heated discussions rather than fanning the flames, responding to
respectful questions without defensiveness, disengaging rather than
continuing an online conflict that has become counter-productive.

d. His presence as a guest has demonstrated a consistent focus on positive
contributions to the community and educational mission of i3 Detroit, as
well as a proactive respect for the rules, including the rule that all
guests are required to sign in with a host member.

4. If NW wishes to return to membership after his membership has
been revoked, he may request in writing (to
i3detroit-board@googlegroups.com) that the board review his status with
regards to the conditions under which he is welcome to become a member
again. This review may be requested no more than one time for each elected
board, i.e., once per year.

If MC
voluntarily terminated his membership after the passing of the Motion of
Intent to Revoke and before the vote on the Motion to Revoke, the number
of days after voluntary termination count as if they were days after

When someone else is not being excellent
* When someone is not being excellent, it is excellent to talk to them in private. It is not excellent to single them out at a meeting or on the mailing list.
Proposal
i3 Detroit Camera Policy:

All cameras that operate unattended in the space may be used, subject
to the following restrictions, to record the activities about the
space for the limited purpose of protecting the membership by allowing
the investigation of actual or suspected wrongdoing.

Applicability: These rules apply to all video cameras placed about the
space for any period of time.

Locations: Video cameras may only be used in areas approved by a
majority vote of the General Membership. Any such video camera must be
placed in a conspicuous manner.

Offline Recording & Access: Video cameras may only send video to the
approved, limited-access Recording Station. Both the video cameras and
the Recording Station must remain isolated from any network so that
neither the live or recorded video may be accessed by anyone without
physical access. This rule specifically forbids the unattended use of
internet-connected cameras.

Limited-Access Policy: To protect member privacy, recorded video may
only be reviewed for the purpose of investigating actual or suspected
wrongdoing or accidents. To prevent abuse of this rule, only a limited
group of individuals may authorize access to recorded video. These
individuals are either members of (1) Group A, two individuals chosen
by the Board; or (2) Group B, two individuals chosen by the General
Membership and not already chosen by the Board. Before any recorded
video is reviewed, at least one member from both Group A and Group B
must authorize the review and be present during the entire review
process.

Data Retention: The video may not be retained for longer than a period
of one year, unless the applicable footage is, or is anticipated to
be, under active investigation or other legal process.

These policies may not be amended or altered without notifying the
membership

Physical Security: To prevent unauthorized access to the recorded
video, physical access to the Recording Station is restricted to the
members of Group A and Group B as further described below. The
Recording Station must be physically secured with two locks that
prevent access to the recorded video. The first lock’s keys may only
be possessed by members of Group A and second lock’s keys may only be
possessed by members of Group B. Both a member from Group A and Group
B must be present from the time the Recording Station is accessed and
stay until it is re-secured.

Audit Requirements: Members have the right to know how the Recording
Station and its recorded video are being accessed. Tamper-evident,
numbered seals must be conspicuously placed on the Recording Station
in such a way that the seal is broken whenever the Recording Station
is accessed. Anyone accessing the Recording Station must (1) Replace
the tamper-evident tag with a new one; (2) Notify the General
Membership through the general electronic mailing list. The
notification to the General Membership must contain the following
information: The tamper-evident seal number, access date and time,
individuals accessing the video (including members from Group A and
Group B), date and time of the video being reviewed, and the purpose
for reviewing the video.

Beginning of month checklist
Do this ASAP after the first member meeting of the month.
* Collect all cash and check dues from the dues dropbox, place them in the "to process" envelope.
* For each dues check:
** Enter the check into QuickBooks. Credit the member's income account (e.g. "Income: Dues: Wordsworth, Wanda"). Debit the "Undeposited Checks" account.
** Enter the check into the CRM.
** Place the check in the "to deposit" envolope as soon as you are done.
* For each cash payment:
** Enter the payment into QuickBooks. Credit the member's income account (e.g. "Income: Dues: Wordsworth, Wanda"). Debit the "Cash" account.
** Enter the payment into the CRM.
** Write a paper receipt for the payment and place the member copy in the "dues receipts" envelope.
** Place the cash in the "to deposit" envelope.
* For each Amazon payment.
** Enter the payment into QuickBooks. Credit the member's income account (e.g. "Income: Dues: Wordsworth, Wanda"). Debit the "Amazon Payments" account.
* Add up all cash and checks in the "to deposit" folder, make sure the amounts match "Undeposited Checks," "Cash," and "Amazon Payments" in QuickBooks.
* Check the "Accounts" tab in the CRM for members who owe two or more month's dues. (Is two month's a good cut-off?)
** Visit that member's "plan" tab, and set the end date of their membership to the last day of the previous month (e.g. if you are doing this on Sept 3, set the end date to Aug 31).
* Visit the "Payments" > "Billing" tab in the CRM.
** Click "Run Billings" to debit each member's account for the current month's dues.
** Click "Send Emails" to email any members with an outstanding balance.
* Transfer the amazon account into the Checking Account, and record the transaction in QuickBooks.
* Deposit the "to deposit" envelope into the checking account and place the deposit slip in the "Deposit Slips" envelope for the current year.

Pre-board meeting checklist
Do these tasks once every month after the "beginning of the month" checklist and before the second-Tuesday board meeting.
* Reconcile the previous month's bank statement.
* Prepare a balance sheet.
* Prepare an income/expense report.
* Save a PDF of these reports in the i3 Dropbox.
* Mail the reports to board@i3detroit.com.

Advice
* Check the mail on a regular basis.
* Collect cash/check dues payments from the dues dropbox.
* When people try to randomly hand you fistfuls of dollar bills, remind them to fill out a payment form and put in in the dues dropbox. Expect this to happen at least on a weekly basis.
* Transfer Amazon payments from our Amazon account to our bank account.
* Perform investigative work to determine who has actually paid dues when members ignore your requests to use their full name when they make payments.
* File the taxes.
* Write reimbursement checks for approved expenses incurred by members.
* If you don’t want to be writing checks every single time you walk through the door, practice telling members they have to wait until the next meeting to get reimbursed for their expenses.
* Make sure the bills get paid on time. See the chart below for info on what payment methods are used for each bill.
* Send a monthly invoice to B. Nektar for their share of the electric bill.
* Enter dues payments into the CRM.
* Enter all income and expenses into Quickbooks.
* Deposit cash and checks at the bank.
* Present monthly financial reports to the Board of Directors.
* Provide sensible fiscal guidance whenever large purchases are being considered.
* Write up receipts for donations, and maintain the donation logbook.
* Follow up with members whose checks bounce; follow up with the same members the following month when their checks bounce again.
* Deal with people constantly coming up to you with questions about finances every single time you come up to the space to work on your own projects.
* Answer the same questions, over and over again, usually regarding information that is already posted on the wiki.
* Get told how to do your job by people who don't understand how our organization actually operates.
* Regularly remind yourself that you're only stuck with this job for a year.

Regular, recurring expenses and how they are paid
There are several expenses that are incurred on a regular and recurring basis. The following table describes each one, including a description of how the expense is paid. "Check" means that a physical check is written and delivered to the creditor. Note that some bills are actual paper bills that get delivered to the space--check the mailbox regularly for these and other important things.

Beginning of month checklist
Do this ASAP after the first member meeting of the month.
* Collect all cash and check dues from the dues dropbox, place them in the "to process" envelope.
* For each dues check:
* For each cash payment:
* For each Amazon payment.

* Prepare a balance sheet.
* Prepare an income/expense report.

* File the taxes.

General
#It is the responsibility of the members to come to amicable agreements of disputes over tools, space or other shop resources.
#No sleeping / living in the space. (Napping for a little is okay.)
#The Board of Directors will respond to all requests for approval within 48 hours unless the Board asks the requester for more time to decide.
Safety
#Safety is the top responsibility of every member and guest.
#All members and guests are required to use appropriate personal protective equipment. i3Detroit provides eye, ear, hand, head, and respiratory protection of many kinds for this reason.
#It is the the responsibility of every member and guest to understand the safe use of any tool or equipment before using it.
#This understanding must be obeyed and any members or guests in the work area who may be affected must be made aware (such as a verbal request to put on safety equipment or relocate to avoid breathing fumes).
#Members must not allow unsafe practices by any guest or other member.
Guests
#Any member may host up to ten guests in the space.
#Two or more members may host an unlimited number of guests.
#In all cases, the member(s) hosting one or more guests are responsible for:
##Verifying that each guest has a signed waiver on file before they're allowed entry
##Signing the log with each guest
##Making sure guests understand the guidelines under which we operate
##Ultimately, cleaning up after guests if they fail to do it themselves
#If any of the following are true, the person is not allowed in the space and must leave:
#The person is not of the age of majority and a parent or guardian of the guest has not filled out the Young Guest Waiver on his or her behalf
#The person is banned (see 9.1)
#A member or guest who behaves inappropriately (including but not limited to violation of these rules or the bylaws) may be asked to leave by another member. In case of a dispute in the matter, any board member may mediate.
Property
Bringing Property to i3Detroit
# A list of property types are listed below. If property coming to i3Detroit meets one or more of these criteria, the associated process(es) must be followed. Otherwise the Board of Directors reserves the right to treat said property at i3Detroit as abandoned (see 4.4.1).
#In all cases requiring approval, do not bring property to i3Detroit until it has been approved.
#The Board of Directors and the warden(s) of the zone receiving the property must both agree to the new property for it to be considered approved.

Oversize property
#Definition: The property is a standing object that occupies a floor footprint (like a server rack, table saw, furniture, or telescope) and it cannot be stored on a shelf.
#Process: Give the Board a filled-out Parking Permit and wait for approval.
#Oversize projects coming to i3Detroit that will be removed in four days or less do not require approval from the Board of Directors. The owner of the project must send a notification email to the discussion mailing list.

Donated property
#Definition: The property is brought to i3Detroit by a member or guest who wants i3Detroit to become the new owner of the property.
#Process: Give the Board a filled-out Donation Release and wait for approval.
Shared property
#Definition: The property is brought to i3Detroit by a member (not a guest) who wants to share usage but not ownership of the property. The member retains ownership of the property.
#Process: Give the Board a filled-out Equipment Entry Form / Ownership Affidavit and wait for approval.

Private property
#Definition: Property owned by a member that is not donated or shared.
#Process: Members may freely bring private property to i3Detroit as long as it is stored safely in their plot. (see 5.1 and 5.2.)
Integrating New Property into i3Detroit
#Shared, donated, and oversize property (referred here as “new property”) require special storage arrangements. The Board of Directors, after approving the new property, is responsible for making these arrangements.
#New property must be stored safely in an appropriate zone and with the approval of that zone’s warden.
#New property must be labeled to identify it and where it should be stored. Shelves must be labeled with the property stored there.
#Oversize, private property must have an attached Parking Permit.
#Removing Property From i3Detroit. Many members at i3Detroit depend on the availability of property and tools they do not own. All members are responsible for following these guidelines.
#Members can freely remove property from the graveyard.
#Members taking their personally-owned shared property out of i3Detroit must (amended: should) notify the member mailing list that the property is being removed. This is both a courtesy to others and a safeguard against apparent theft.
Handling Abandoned Property at i3Detroit
#Because i3Detroit must actively defend itself from clutter and unwanted property, abandoned property is treated as though the owner places no value on the property and will not return to claim their property. In the interest of the members of i3Detroit and their need for a clean, safe workshop, the Board of Directors will thus use or dispose of the abandoned property however it sees fit.
#Property is considered abandoned if it meets at least one of the following criteria:
##The property was never approved by the Board of Directors when this approval was required (see 4.1)
##The property is neither shared nor donated, violates the safe storage rules, has no attached Parking Permit, and has an attached Parking Ticket with an expired grace period
##The property is in member storage and is either stored unsafely or exceeds the owning member’s plot
##The property is owned by a former member and has not been collected within thirty days of that person’s departure from i3Detroit
##Any member of i3Detroit can attach a Parking Ticket to property he or she suspects is abandoned (see 4.5).

Parking Tickets
#The member affixing the Parking Ticket (the “finder”) to property he or she suspects is abandoned must undertake a goodwill effort to contact the owner of the property by sending an email meeting these criteria:
##In the subject line, put the words “ABANDONED PROPERTY PARKING TICKET”
##In the message, describe the property and where it was found
##In the message, mention this notice and when it was attached
##Send the message to i3detroit-announce@googlegroups.com
##Immediately after the message passes moderation and is sent to the announcement list, a seven day grace period begins. If the owner has not stored the property correctly by 12:00 AM of the morning after the grace period expires, the property will be considered abandoned and disposed of accordingly (see 4.4.1).

Storage
Safe Storage
#All property at i3Detroit must be stored in a way that is safe and shows respect for members and guests in the space. Property that meets any of the following criteria will not be considered safely stored.
##Property left on a work surface after the member or guest using it cannot be found and is presumed to have left
##Property left on the floor, especially when it creates a trip hazard and/or obstructs a door or walkway
##Property on a member storage shelf that protrudes more than 2”
##Property on any shelf that protrudes more than 5”
##Property left leaning against a wall, beam, or storage area
##Property piled in front of a storage area
Member Storage
#Each member is entitled to one “plot” in member storage, which is a defined, limited space for keeping his or her private property.
#Each member must keep their private property in only one plot and not exceed the physical dimensions of that plot. The only exception is for approved oversize property.
#Member property that is not stored safely or does not fit in the member’s plot is both dangerous and disrespectful and is considered abandoned (see 4.4.1).
Parking Permits
#Once the Board of Directors approves a piece of oversize property for storage at i3Detroit, the member owning the property attach the filled out Parking Permit to it.
#The Parking Permit must indicate: Who owns the property; where at i3Detroit it is to be stored; the owner’s contact email address and/or phone number; the date when the Parking Permit expires; and the date the Board of Directors approved the Parking Permit.
#The oversize property must be stored in its designated spot at i3Detroit with the Parking Permit visibly affixed. When the Parking Permit expires, the member must either apply for a new one or immediately remove the property from i3Detroit.

Floor Plan, Wardens, and Zones
#“Zones” are defined, limited areas of i3Detroit’s space that are set aside for a particular purpose (such as chemistry, electronics, or crafting).
#“Wardens” are volunteer members who oversee a specific zone and enforce its organization, safe usage, and cleanliness.
##While wardens are responsible for organizing a zone to encourage cleanliness, organization and safety, individuals are ultimately responsible for their own safety (see 2.1 - 2.5).
##Wardens have final say in governing their zone and are responsible for making their rules known to members and guests.
##Zones may have multiple wardens as long as those wardens act in agreement as one.
##Members may be warden to multiple zones.
##The Board of Directors will by default act as warden to any zones without volunteer wardens.
#The organization of zones, the wardens, the property within zones, the locations of zones, and the floor lines between them are described by the Floor Plan.
#The Board of Directors is responsible making the Floor Plan known to members and guests.
#It is the responsibility of all members and guests to keep i3Detroit organized according to the Floor Plan.
#The Floor Plan may only be changed with the approval of the Board of Directors. Any board member may approve.
Access
#Each members is responsible for maintaining the security of his or her own keycard or fob and PIN (access credentials). If you suspect that your card has been copied or PIN has been disclosed, please see the Board of Directors about replacing or changing it.
#Access credentials may be temporarily entrusted to another person (trustee) for limited purposes, such as picking up or dropping off items or people at the space.
#Such trustees are not considered members and are not allowed to use tools, host guests, store their personal property at i3Detroit, or exercise other benefits of membership simply for possessing access.
#Sharing or loaning access outside these limits is grounds for revocation.
#A member or guest who behaves inappropriately (including but not limited to violation of these rules or the bylaws) may be asked to leave the space by another member. In case of a dispute in the matter, any board member may mediate.
Revocation
#“Revocation” refers to revocation of membership. This includes removing a former member’s access, removing their property from the space, and removing them from members-only online services and communications.
#Any of the following are grounds for revocation:
##The member refuses to behave safely, repeatedly fails to store property safely, or repeatedly fails to clean up after themselves or their guests
##The member fails to pay their dues by the first day of the billing month
##The member abandons property more than twice in a 30 day time frame
##The member is a disruption about whom multiple members have complained
##The member gives their access credentials to a non-member outside the limits described in 7.2
#A member’s revocation must be voted on and passed unanimously by the Board of Directors to be enforced. Note: Prior to the Board’s vote, a member’s revocation must follow any applicable procedure in the bylaws to be enforced; see the Bylaws.
#If a person's membership is revoked, the Board of Directors must specify one or more conditions under which the person is welcome to become a member again, such as after a certain date. This requirement does not apply if the Board also votes to ban the person (see Banning).
Banning
#“Banning” refers to the unwelcomeness of an individual from the communications and physical grounds of i3Detroit. Individuals who are banned are not allowed to come to the space.
#A person’s ban must be voted on and passed unanimously by the Board of Directors.
#Removing a person’s banned status must be voted on and passed unanimously by the Board of Directors.
#The list of banned individuals will be posted by the door and updated by the Board when it changes.

These are the current official documents governing i3 Detroit. Most members only need to be familiar with the standing rules.
